  • Temporary Medical Absences

    The Office for Student Success & Advising (SSA) provides support to students facing temporary medical absences by verifying their medical absences with faculty. To initiate the process, students should email success@endicott.edu with a doctor’s note outlining the medical reason and the specific dates of their absence. Once received, the SSA will notify faculty members to verify the absence.

    While the SSA facilitates this communication, decisions regarding excusing absences or providing remote access remain at the discretion of individual faculty members. Students are strongly encouraged to follow up directly with their faculty to address any missed material or make-up work.

    Temporary Medical Absence Process

    1. Notification of Absence:
      If a medical illness impacts your ability to attend courses, email success@endicott.edu with the following information:
      • A doctor's note that includes the medical reason for the absence.
      • The specific dates of your absence.
    2. Verification of Absence:
      Upon receiving the doctor's note, the Office for Student Success & Advising (SSA) will:
      • Notify your faculty members to verify your medical absences.
    3. Faculty Discretion:
      Although the Office will notify faculty about your medical absences, please note:
      • Faculty members have the discretion to decide whether to excuse the absences or provide remote access to coursework.
      • The Office cannot require faculty to excuse absences or provide remote learning.
    4. Student Responsibility:
      It is encouraged that students communicate directly with their faculty to discuss missed work and any potential makeup assignments.

    Extended Medical Absences

    If a student’s temporary medical absences extend into long-term absences, it is essential for the student or their parent/guardian to contact the Office to discuss options, such as a semester leave of absence or other options, depending on the situation.

    Extended Medical Absences Process

      • If temporary medical absences begin to extend into long-term absences, the student or their parent/guardian should:

    Temporary and Extended Medical Absence Considerations

    • Faculty Attendance Policy:
      • Be aware that the College’s Attendance Policy is enforced at the discretion of each faculty member.
      • Students should communicate with their faculty to understand attendance expectations and discuss any missed coursework.
    • COVID-19 Positive Cases:
      • If a student tests positive for COVID-19, consult the College’s COVID-19 Policy for specific guidance and protocols.
  • Leave of Absence

    A leave of absence allows students to pause their studies and resume at a later date. Students may take a leave for various reasons, including personal or family circumstances, employment opportunities, or reassessing academic priorities.

    A leave of absence may be taken before or during a semester. If taken during a semester, students will be withdrawn from all courses. However, financial implications may apply, so we encourage students to contact the Bursar's Office and Financial Aid Office for guidance. Please also reference the Resources when Taking a Leave of Absence page for other resources that can assist you when considering or in the process of taking a leave of absence.

    Students can remain on a leave of absence for up to two academic semesters, after which it transitions to a withdrawal from the College. During the leave, students cannot enroll in courses or reside on campus but will retain access to their Endicott email and other accounts.

    Leave of Absence Process

    1. Initiate the Process
      • The student must contact the Office for Student Success & Advising (SSA) at success@endicott.edu to start the leave of absence process.
      • The Office will guide you through the process and assist in completing the necessary paperwork.
    2. Submit Required Information
      • Last Date of Academic-Related Activity:
        • The student must email the Office for SSA with the last date of academic-related activity.
          • An academic-related activity, as defined by the U.S. Department of Education, refers to activities that demonstrate a student’s engagement with their coursework or educational program. These activities are often used to confirm a student's participation or withdrawal from an institution. Examples of academically-related activities include:
            • Attending a class, lecture, or lab.
            • Submitting an assignment or taking an exam, interactive tutorial, or computer-assisted instruction.
            • Participating in a study group, online discussion, or academic conference that is part of the course.
            • Engaging in assigned internships, fieldwork, or clinical practice related to the curriculum.
            • Contacting a faculty member to ask a question about academic subject matter.
          • This date will serve as your official leave of absence date and will be verified by the Office for Student Success and Advising.

  • Withdrawal from College

    Withdrawing from the College is a decision to permanently discontinue attendance at Endicott, with no intention of returning.

    A student can withdraw from the College before or during a semester. If withdrawing during a semester, students will be withdrawn from all courses. However, financial implications may apply, so we encourage students to contact the Bursar's Office and Financial Aid Office for guidance. Students who withdraw will lose access to their Endicott student email and other accounts once their withdrawal paperwork has been processed.

      • Once this is completed, the Office for Student Success & Advising will submit the withdrawal paperwork to various offices on campus for processing.

      • Notification of Move-Out:
        • If you need to move out of your residence hall due to a leave of absence, contact the Office of Residence Life at reslife@endicott.edu.

    Students who have been on a leave of absence or have withdrawn from the College and wish to return to the College must complete the readmission process. Undergraduate, Graduate, and Van Loan students seeking to return to Endicott College after a leave of absence or withdrawal may be eligible for readmission into their previous academic program, provided they maintained satisfactory academic progress. Please review the readmission processes below to ensure readmission eligibility and the steps needed to be taken.

    Key considerations include potential curricular or programmatic changes that may affect degree requirements or graduation timelines. Students are encouraged to contact their School Dean or the School Dean of a new major if changing programs.     What is the primary difference between a leave of absence and withdrawal from the College?
    A leave of absence is ideal for students who need a break but plan to return, while a withdrawal is for those who have decided to permanently end their studies at the institution.

    Is transferring to a new college and withdrawing from the College the same thing?
    Yes. If you have already applied and been accepted to a new institution, please review the “Withdrawal from the College” page to learn about the process and resources.

    If a residential student takes a leave of absence will the student’s housing assignment be held for them upon their return?
    No, the Office of Residence Life cannot guarantee that a student’s housing assignment can be held when on a leave of absence.

    Does this office review financial aid or scholarship eligibility?
    Unfortunately, SSA is not in a position to meet with students about their financial aid or scholarship eligibility. Please encourage email the Office of Financial Aid (finaid@endicott.edu) to inquire further.

    Can this office meet with students to assess their eligibility for tuition reimbursement?
    Unfortunately, we are not in a position to meet with students about their eligibility for reimbursement. For information on potential refunds, consult the refund schedule provided by the Bursar’s Office.

    If a student still has an outstanding incomplete grade, can they go on a leave of absence or withdraw from the College?
    Students are still able to take a leave of absence or withdraw from the College. However, we are not able to complete the process until the incomplete has been changed to a grade. Once the incomplete has changed to a grade the Office can process their leave of absence or withdrawal from the College.

    Can this office meet with students to review options such as a leave of absence, withdrawal from the College, or readmittance to the College?
    Yes, the Office can certainly schedule a meeting to discuss any of the policies and corresponding processes. We often work with students or families to help them better understand the processes so that they feel they are making the best decision.

    How do students know if they have taken out tuition insurance?
    Students can contact the Bursar’s Office to inquire about if they have taken out tuition insurance.

    Does this office complete the “Course Withdrawal Form” on behalf of a student?
    Our office does not complete the “Course Withdrawal Form” on behalf of a student. Each student has the ability to initiate and submit this form on their own through Etrieve.

    Does this office complete the “Change of Status form” (i.e. full-time to part-time) on behalf of a student?
    This office does not complete the “Change of Status Form” on behalf of a student. Each student has the ability to initiate and submit this form on their own through Etrieve.

    Does this office have the ability to drop students from their last registered class?
    Our office cannot drop students from their last registered class. Please email the Registrar’s Office (registrar@endicott.edu) to do that.
